Electronic order processing is making dream kitchens into a reality faster and more efficiently, thanks to IRISXtract for Documents

FRANKE, the world's leading provider of intelligent solutions for domestic kitchens, has implemented a system to automatically process incoming orders from Henrichsen AG, based in Straubing, Germany, and I.R.I.S. AG, based in Aachen, Germany. The solution reads and processes almost 400,000 order pages every year at FRANKE GmbH in Bad Säckingen.

With more than 10,000 customers in Germany high order volumes are guaranteed each and every day. Shorter waiting, turnaround, and delivery times, as well as on-time delivery, increase customer loyalty and therefore provide key competitive advantages. FRANKE chose to optimise their method of processing incoming orders so as to make customers' dreams of a custom, innovative kitchen a reality faster.

The choice was quickly made to work with Henrichsen AG, the company's long-standing partner for archiving solutions. The IT service provider specialises in capturing, processing, and archiving of structured and unstructured data and documents. They carried out the project together with their long-standing partner I.R.I.S. AG, a global specialist in document classification and invoice processing. The fully automated recognition of electronic and paper-based contracts and orders significantly shortens project lead times right off the bat and delivers substantial cost savings.

The solution is based on the IRISXtract for Documents solution platform that classifies and checks all incoming mail, fax, or email orders without the need for any advanced design work or data entry. After an order is received by FRANKE, it is scanned, recognised, and extracted.

All relevant data for orders and booking, including the document type, customer number of the purchaser, document number and date, delivery address, requested delivery date, unit of quantity, material number and text, as well as item number, quantity and value, is automatically read in high quality and forwarded to SAP - the existing order entry system at FRANKE. The order document is then digitally archived to ensure it can be accessed or searched at a later stage or even outside of SAP.

Along with electronic order processing, Henrichsen and I.R.I.S. also installed a system for automated invoice processing at FRANKE. Invoices are now automatically booked with reference to the relevant order, and without any errors in terms of prices or quantities. At the same time, the installation guarantees workflow functionality for subsequent audit/accounting and approval of the incoming invoices that have been captured.

Henning Krause, Head of Partner Sales Central Europe at I.R.I.S. AG, highlights the many advantages of the installation FRANKE faces: "Incoming orders and invoices are processed automatically so that manual processing can be kept to a minimum. Efficient validation at the IRISXtract for Documents Verify workstation means that processing is fast and secure, resulting in a huge increase in efficiency for FRANKE."
