In today's intensively competitive "Big Data" environment, maximising the velocity and accuracy of captured information matters more than ever. Operation managers face the challenge of capturing ever-increasing volumes of mixed document batches from diverse sources, converting that into accurate digital content, and delivering a reliable, predictable data stream with the highest possible velocity to the downstream applications that rely on this critical information.

Seventy-three percent of scanning operations say their scanning and document capture requirements are more complex compared to two years ago, according to a 2013 survey conducted by Brousseau & Associates. And the challenges may only get more difficult. Seventy percent of the respondents to the survey believe their capture volumes will increase over the next two years.

To address these challenges of increasingly complex document capture requirements, ibml recently introduced SoftTrac Synergetics, a multi-channel, intelligent document recognition (IDR) solution that automates classification and data extraction from diverse documents received from many sources including mail, scanners, multi-function peripherals (MFPs), distributed and mobile capture devices, outsourced providers, e-mail and fax.

For example, in a mortgage origination process where there can be more than 250 document types to sort coming in from scanners, mobile devices, email and fax, Synergetics will automatically classify each document in the batch and extract data fields and text. Data can be validated through a browser interface and exported to the business application or enterprise content management (ECM) system. Using Synergetics for document-intensive applications helps:

HOW IT WORKS
ibml's SoftTrac Synergetics employs full-page advanced text classification, and image based classification, to identify and sort documents such as invoices, mortgage and tax documents, insurance applications, and medical records. The software identifies the unique words for each document and considers titles to learn hundreds of documents within minutes. Synergetics can also use barcodes and other values on documents to automatically determine where a document starts and ends. All of this means that operators only have to focus on the exceptions.

Synergetics supports a wide range of data extraction technologies, including:

• Free form unstructured extraction
• Barcode extraction
• Handwriting extraction
• Mark sense extraction
• Fuzzy database extraction
• PDF & text extraction
• Fixed form extraction

To accurately extract data fields from unstructured forms, ibml's SoftTrac Synergetics uses key anchors, values and patterns. In an invoice processing application, these fields might include the invoice date, account number, purchase order number, service code, amount, or due date. Data can be quickly validated using databases and table lookups.
